Forwarding Address and BCC in Email Setup
Within Settings, you have many options for setting up your email, including a forwarding address, BCC, reply address, or forwarding to an assigned user.
Navigation
- Navigate to Settings > Email Services.
- Select the Reply & Forward Settings tab.
Here you will see Forwarding Address, BCC Emails, and a toggle for forwarding to Assigned User. Choose your preferences based on the descriptions below:
Forwarding address:
When a lead responds to an email, their response will always appear in the Conversations tab. However, if you want a copy of the lead's email response to be sent to another email address, you can add that address here. Note that all incoming and outgoing emails (To, CC, and BCC) will incur charges.
You can enter multiple forwarding email addresses, separated by commas, for example: email1@test.com, email2@test.com, email3@test.com.
- Forward to Assigned User: The specific user assigned to the particular lead will receive the email replies within their user email.
- Note: With the forwarding address set up, if you reply to an email from a lead directly in your email inbox, it will not sync back into Mastermind.
BCC emails:
You will receive a copy of every email that is sent from that account.
Reply Address:
All incoming emails will be directed to this address instead of being routed to the Conversation tab.
Please note that if you reply to a lead's email outside Mastermind, your response will not sync back to Mastermind.
You can add up to 5 email addresses.
FAQ’s
1. What does the BCC Emails option do?
- Answer: The BCC Emails option allows you to receive a copy of every email sent from the account. This is useful for keeping records of all outbound communications.
2. How can I change the reply-to address for my emails?
- Answer: You can change the reply-to address by navigating to the Reply & Forward Settings tab under Settings > Email Services. Enter the desired reply-to address, and this will be added to all outgoing emails.
3. What should I be aware of when changing the reply-to address?
- Answer: When you change the reply-to address, replies to emails will not be tracked back into the conversation thread within Mastermind. This means that conversations with a modified reply-to address may not sync with your system.
4. Will email replies sync back into Mastermind if I respond directly from my email inbox?
- Answer: No, if you reply to an email from a lead directly in your email inbox, the response will not sync back into Mastermind. To maintain conversation threads within Mastermind, replies should be made from within the platform.
5. Why aren’t attached files forwarded with email replies?
- The forward settings in the email services tab do not support forwarding attachments. Therefore, if a contact replies with an attachment, you’ll need to log into the Mastermind conversation view to access the file.
6. Why do the forwarding emails I’ve added disappear after attempting to save them?
- If the email addresses are invalid or conflict with any dedicated domains associated with your account, they cannot be used as forwarding addresses and will be removed.
